A CRM built for a growing engineering firm. And then their whole infrastructure moved to us.
ZOYTEC had built a real business on reputation. We shipped the CRM that lets a growing team keep every lead, invoice, and public tender in one place. That same team now trusts us with their servers, network, and day-to-day IT.
Before
ZOYTEC came to us as a small engagement, a one-off job for a healthy, growing engineering firm run by people who knew their trade cold. Their sales process was informal because it had always worked: a phone call, a coffee, a handshake. The order book was expanding, though, and coordination that had lived comfortably in email threads and calendar entries was starting to need a shared, structured view, especially as more people joined the loop.
- The pipeline lived across several people's inboxes rather than one shared view.
- Company details for new leads were typed in by hand every time. The register data was right there but nothing pulled it automatically.
- Pre-sign checks (debtor lists, liquidation, insolvency) were done ad hoc when someone remembered.
- Invoices were assembled in Word and reconciled against bank statements manually.
- ÚVO Vestník tenders were checked by refreshing a browser tab, so response windows were shorter than they needed to be.
- GDPR requests came in rarely enough that each one was handled from scratch.
What we built
We built a proper CRM shaped around how ZOYTEC actually sells (leads, deals, companies, contacts, documents, invoices), with automations wherever a routine step had been costing time better spent on the work itself. Every company field autofills from the Slovak business register and cross-checks debtor, liquidation and insolvency records the moment a lead is added. Every incoming bank movement is matched to an outstanding invoice within seconds. Every ÚVO tender relevant to their sector shows up as a lead automatically, ready for a same-day response. Role-based access means the sales lead sees the pipeline, the accountant sees the money, admins see everything.
- Full CRM: pipeline dashboard, leads, deals, companies, contacts, documents.
- Role system with granular per-view access: sales, accounting, admin.
- Company onboarding: autofill from ORSR, live checks against debtor + liquidation + insolvency registers.
- In-app invoice builder with Slovak legal fields and Pay-by-Square QR.
- Automated bank-statement parsing: incoming payments matched to invoices by IBAN + variable symbol.
- ÚVO Vestník ingest: relevant tenders converted to leads automatically, with same-day alerts.
- GDPR toolkit: subject-access exports, retention timers, right-to-erasure with an audit trail.
Outcome
The pipeline is now a live number the whole team shares: leads, deals, and money in one view. Quotes go out faster because the data is already there. Compliance checks happen at the moment a lead lands, not the night before a signing. ÚVO tenders that would have been reviewed the next morning are now on the table by lunchtime. The engagement grew from that first small project into us running their office network, servers, and day-to-day IT. The CRM was the first piece; the trust it built is the reason we're now their infrastructure partner.
- €220k+ live pipeline visible to the whole team in one view.
- ÚVO tenders reviewed same-day, giving them a full response window.
- One click from a signed quote to a compliant invoice with a QR code.
- Debtor and liquidation checks happen automatically at lead creation.
- GDPR responses that used to take a working day now generate in seconds.
- From a single-project engagement to full infrastructure partner over 12 months.
“TukeWIN built our CRM, automated a stack of things we'd been putting off, runs the server infrastructure in our new building, and keeps the office IT working. We used to run things over emails and coffees; nice to have everything in one place now.”
